
Room Use for Ministries and Organizations
We welcome Parish Ministries and Organizations to reserve space for your meetings, gatherings, celebrations and other events through the Parish Office at 471-7741 extension 428.
Rooms that may be reserved (with estimated occupancies) are:

Reservations may be made up to 90 days in advance, however, Active Parishioners may reserve O’Connor Hall and Meeting Room #5 up to one year in advance for anniversary receptions, class reunions and weddings receptions
Priorities
The priorities used by the Parish Staff to assist in effective room scheduling is:
1. Parish Sponsored Sacramental Preparations, Receptions and Celebrations
2. Religious Education Programs
3. Parish Core Staff Led Meetings
4. Parish Community Events
5. Parish Wide Fund Raisers
6. Parish Ministry Meetings and Activities
7. Parish Organization Meetings and Activities
8. Parish Organization Fund Raisers
9. Private Use by Registered, Active Parishioners (Please see other brochure for details)
10. Private Use by Parish Employees (Please see other brochure for details)
The person reserving the space must take full responsibility for all persons attending and all aspects of the event, leaving the premises in the same, or better, condition than found. This includes:
Set-up
Removing all equipment and materials that are brought into the facility in time for the next event to proceed on schedule
Cleaning of floor spills, litter and crumbs (Janitor closet is open for this purpose)
Unplugging, cleaning, drying and putting away all Parish owned equipment and materials
Bagging of trash, including all disposable items, and placing in supplied trash receptacles
Turning out lights in all areas, including rest rooms
Securely locking doors, elevator, and if applicable, returning key(s) to Parish Main Office
Reporting of any unusual occurrence, including damage, to Parish Main Office 471-7741, line 0
Making sure that equipment brought into the facility in no way damages the floor or any part of the facility
Decorations used must not damage or deface walls. Nails, screws, tape, etc. MUST NOT be used
Smoking or open flames are not permitted in any Parish building
Appropriate behavior and attire is required throughout the Parish campus, at all times
Stairwells and exits must be kept clear at all times
All food and drink is supplied by the user (except for Parish “sponsored” events)
The sale of alcoholic beverages is prohibited, except for Parish authorized events with proper permit(s). If an event’s primary purpose is directed towards minors, alcoholic beverages must not be served.
Keys are available from the Parish Main Office 9am-5pm, with sign out signature, one business day in advance of space use
If all policies are not followed, future use may be prohibited
Hall Use for Other Events
We welcome Registered and Active Parishioners and Parish Employees with over two years of favorable service to reserve space for your celebrations and other events through the Parish Office at 471-7741 extension 0. However, Parish Gatherings and Parish Organization Events must take precedence over private functions.
Rooms that may be reserved (with estimated occupancies) are:

¨ Meeting Room #5: Standing 80; Theater Seating-50; Table Seating Up To 35
Reservations may be made up to 90 days in advance, except for anniversary receptions, class reunions and weddings, which may be reserved up to one year in advance.
A refundable security deposit, for other than gatherings after funerals, is required ($250-$350)
For other than after funeral gatherings, class reunions and events to benefit a Parishioner in Need (for which donations are welcome), a facility use fee will be charged depending on the space being used, the number of quests attending and the type of beverages being served ($75-$350). If adult beverages are being served, volunteers from one of our Parish Organizations will provide servers at additional cost.
For private use events:
· Events may be up to 4 hours in duration, as follows:
· Saturdays: Day events must end by 3:30pm; Evening events may begin no earlier than 6pm and end no later than 1am
· Sundays: Events must start no earlier than 2pm and end no later than 10pm
· Weekdays: Events must start no later than 9am and end no later than 10pm
· Keys may be picked-up from the Parish Office one business day prior to the event with payment of the applicable Facility Use Fee. Arrangements can be made to gain access before the event for set-up etc during business hours
· The applicable Security Deposit must be received and a Hold Harmless and Indemnification must be signed and witnessed in order to reserve the space
· The Parish will set-up tables & chairs per the written instructions of the reserving party
· The following items are available in O’Connor Hall: Walk-In Refrigerator, 3 Beer Taps, Ice Machine, Coffee Pots and Microwaves. Coffee Pots are available in Meeting Room #5

All materials, including food, drink, table coverings, decorations, serving containers, are supplied by the user . Some serving trays and utensils are available
Making sure that equipment brought into the facility in no way damages the floor or any part of the facility
Decorations used must not damage or deface walls. Nails, screws, tape etc MUST NOT be used. Easels are available.
Appropriate behavior and attire is required throughout the Parish campus, at all times.
Stairwells and exits must be kept clear at all times.
The sale of alcoholic beverages is prohibited, except for Parish authorized events with proper permit(s). If an event’s primary purpose is directed towards minors, alcoholic beverages must not be served.
Smoking or open flames are not permitted in any Parish building. Please smoke in the open air away from overhangs. Proper receptacles are provided in outside areas where smoking is permitted

Removing all equipment and materials, which are brought into the Center, in time for the next scheduled event to proceed on schedule
Cleaning of large floor spills, litter and table /counter tops (Janitor closet is open for this purpose)
Bagging of trash, including all disposable items, and placing in supplied trash receptacles located behind the coat hanging area
Turning out lights in all areas, including rest rooms
Securely locking doors, elevator, and, if applicable, returning key(s) to Parish Main Office within one business day
Reporting of any unusual occurrence, including damage, to Parish Main Office 471-7741, ext 0
If all policies are not followed, a portion or all of the Security Deposit will be retained and future use may be prohibited.
